Hello Nevada/California chapter members.
This email is to inform you of the campaign and election process we will follow in electing the 2012-2013 NV/CA Regional Officers during the Regional Convention to be held at the Suncoast Hotel, Las Vegas, on March 9-10, 2012.  Being a Regional Officer is a new set of challenges, with new situations, new pathways, and new rewards. The officers of our region have a significant role in the development and progress of our region, and as such, need to be committed to the concept of Phi Theta Kappa, and to our region.
 There are 7 Board positions:
5 District Vice-Presidents, a Regional Secretary, and a Regional President.
It is possible that three different candidates from the same chapter can be elected to the Regional Board (a District VP, the Secretary, and the President). It is also possible for a regional officer to be a chapter officer, but that is between you and your chapter. A regional officer is to serve an entire year, from March 2012 to March 2013 (essentially from Spring Convention to Spring Convention). Please make sure you will be enrolled in your community college for the entire upcoming academic year. There is a stipend/scholarship of up to $200 presented to all officers who successfully complete their term of office.
Regional Officer Responsibilities (in a nutshell) include but is not limited to:
 • The District VP's responsibilities include contacting and working with other chapters within that officer's District, developing a District Summit, attending induction ceremonies when feasible, and being a keynote speaker at a chapter’s induction or similar event. The District VP must maintain communication with the chapters in the officer’s District.
 • The Secretary keeps minutes of all Board meetings, distributing the minutes to each member of the Regional Board, and distributing a summary to the region or having it posted on the regional website. The Secretary is also responsible for the regional newsletter and its distribution (typically by regional email listserv).
 • The President chairs the Regional Board teleconferences and sets the agendas for said conferences. The President has the responsibility of being available to all chapters in the Region -at least by email, if not in person, and also serving as a guest speaker at induction ceremonies or other chapter events, should transportation and scheduling is feasible.
 • All officers preside over General Sessions at Regional meetings, and plan and conduct workshops for the Fall and Spring Regional Conferences. All officers are responsible for overseeing various Regional Projects, and have input into the following year’s regional projects. Members come to you for answers to questions; you need to know those answers.***  Officers participate in monthly (or more frequently as the situation requires) Board teleconferences.
*** All officers should be conversant in various Phi Theta Kappa (Regional and International) programs: 5-Star, the four Hallmarks, Hallmark Awards (both International and Regional), Competitive Edge, CollegeFish.org, College Completion, Honors Seminar Series, NV/CA Regional Projects (and these are just some of the major ones!)
If you are interested in running for regional office, two emails must be sent:
You (the candidate) need to send me an email containing
 your name
your email address
your college & chapter name, and district (see attached listing of colleges and districts; if your chapter is not listed and you are unsure of your district, contact me)
the office, which you seek (PRES, SCTY, NVVP (Nevada VP), NEVP (NorthEast VP), NWVP (NorthWest VP), SEVP (SouthEast VP), SWVP (SouthWest VP))
You should include a candidate's statement --about 250 words, equivalent to no more than one page, one and one-half or double-spaced, one inch margins all around, minimum of 10 point font (reckless editing will ensue if your statement runs outside of these limits). Save your statement in the following named format  POSITIONName.doc  using a code shown above  (as in NVVPYourName.doc  please do not use  .docx  format).
AND the second email is to come from your chapter advisor verifying that you are a member in good standing (your advisor received an email from me explaining his/her role in this process), but you need to request this email directly from your chapter advisor.
Both of these emails and your candidate statement must be received by me by midnight (11:59 p.m.) Sunday on Feb. 5 , 2012.
This statement introduces you to the regional membership, which will then be posted on our regional website.
NOTE: All candidates MUST ATTEND a Candidate's Forum held on Friday March 9, which begins promptly at 3 PM (lasting for about an hour; hotel room to be announced later). Here we will review a number of procedures that will be followed during the election process, as well as answer questions you might have. Make appropriate travel plans so that you arrive at the hotel in time for this meeting.
As a candidate, you may have a campaign manager, and any other support staff you might need. If you want to have a display board (perhaps a "science tri-fold" no larger than 4 ft by 3 ft.), it must fit on half of a standard 6-foot-long table, not on any floor-mounted stand-alone easel, as two candidates will likely share the same table. You may also display any other campaign literature, even “goodies” (flyers, monogrammed pencils, candy, etc.) you may want to distribute to convention attendees. It is the intent to have candidates' tables available for you either in or outside the General Session room.
 Basic Process:
During the Friday night General Session, each candidate will give a three-minute speech on the 2012 Honors Topic –which is the Culture of Competition (see more info at end of this document). The microphone will be covered at the end of 3 minutes! (So don't get caught mid-sentence.) It is the intent that you display knowledge of the Honors Topic (as you will be developing Honors Topic workshops and presentations during the coming year), and that your speech provide interest and motivation in and for the Honors Topic. What you say and how you say it is purely up to your own ingenuity and creativity.
In the voting process a candidate MUST garner at least 50 % +1 of all votes cast to be elected a regional officer, even if you are running unopposed. If there are 3 or more candidates for one office, a runoff vote will occur involving the top two vote-getters, before the "50 % +1" rule takes effect. Failure by a candidate to win that 50 % +1 vote will mean that the office will be vacant. (Yes, it has happened where a candidate did not receive the required minimum # of votes.) Each chapter (regardless of the number of members from that chapter in attendance) will have only one vote for each of the different offices --that is, a chapter can cast one vote for one candidate for President, cast one vote for a Secretary candidate, one vote for NV District VP, etc.
After the Friday evening General Session, there will be an opportunity/activity by which the general membership will meet with and talk to the different candidates, and you are required to participate in that activity.
During the Saturday morning General Session, there will be a "Q & A" (question and answer), where each candidate will be asked a variety of questions –some of those questions coming from the student members and some from the advisors within our region. There will be a panel of 3 people who will be asking all the questions. Each candidate will have a total of five ( 5 ) minutes for Q&A. (The Friday afternoon candidate forum will describe the logistics/procedures of these two General Sessions.)
Winning Candidates will be announced and installed as Regional Officers at the conclusion of the Awards Banquet on Saturday night.
NOTE: ALL NEWLY ELECTED OFFICERS ARE REQUIRED TO ATTEND THE REGIONAL BOARD MEETING SUNDAY MORNING, which runs from 8:30 AM until about NOON. We hit the ground running!!  You should therefore make return travel plans in such a way as to allow you to be at that meeting for the entire time. Breakfast will be provided by the region –the first of many benefits!        If you are flying, give yourself reasonable time from end of meeting to your flight’s departure time (i.e., having a return flight at 12:30 -or even 1 PM- is not reasonable) --contact me if you are considering various travel options and need some suggestions regarding scheduling, etc.
I look forward to your candidacy and wish you well and much success in your endeavor to be a NV/CA Regional Officer.

Regional Coordinator
